BC0189 - Refillable hand gel dispensers – 191220

This member authority is interested to hear from other authorities in relation to refillable dispensers, in particular:-

1. Do you use refillable dispensers around school corridors and entrances for alcohol gel?

If yes,

2. How are dispensers being cleaned between re-fills?

3. Has there been any Public Health concerns raised regarding re-filling alcohol gel dispensers, in particular with the growth of Pseudomonas bacterium?


BC0188 - Work place strategy post COVID-19 - 051120

A member authority is currently reviewing its Work Place Strategy in view of colleagues working from home during the Covid-19 pandemic.  The member authority pre Corvid operated on an average ratio of 7:10 (7 desks to every 10 colleagues). The council are now looking at the impact different office/home working scenarios and is keen to gain information regarding the following:-

1. What is you authority thinking regarding future need for office space?

2. How do you think this space will be configured?


BC0185- Digitised staff attendance systems

A Member Authority are currenting looking to digitise their staff attendance for the cleaning and caretaking team. The Member Authority are keen to understand the following:

a) What system do you have in place for staff attendance. E.g. the provider or an inhouse developed system

b) How does the member of the cleaning team record there attendance e.g. Telephone, bio-metrics, PC Logins

c) Is the system specific for building cleaning ?


BC0184 - Fogging Equipment

A Member Authority is looking to purchase fogging equipment for their outdoor education centre.  The Member Authority is seeking information regarding what fogging equipment other councils have purchased and what areas is the equipment being used in.


BC0182 - Cleaning frequency - 100820


During the pandemic the guidance around cleaning is to focus on increased cleaning of high frequency touch points. This will affect the productivity rate if we clean surfaces daily which were perhaps cleaned weekly or spot cleaned. BICS guidance is 166m2 for a primary and 199m2 for a secondary, many will be operating beyond that – sometimes through mechanisation and sometimes through budget necessity.

A Member Authority is seeking the following information:-

1. Have any authorities made allowances for the additional time needed for cleaning the high frequency touch points and if so what are these?

2. Is your authority currently looking at reversing previous cuts to allow for adequate cleaning times in the future, and if so what?


BC0181- Lone working arrangements - 100820

A member authority is seeking information regarding what arrangements other council cleaning services have in place for their cleaning staff who work alone:-

1. During normal working hours
2. Outside normal working out of hours


BC0180 - Building Cleaning Delivery Models

A member authority are currently reviewing their building cleaning and are keen to hear what other delivery models other local authorities have in place. The member authority are specifically seeking information regarding the following:-

1. Has your authority changed the way you work with regards to cleaning in response to COVID-19?
2. Has your authority experienced issues with contractors in relation to prices changing due to different ways of working and the pandemic? If so please advise of what issues you have experienced.
3. Has the council recently changed its cleaning service delivery model e.g. in-sourced cleaning
4. What was has been the benefits of changing delivery model?
5. Do you have in house cleaning and contract out some of the cleaning service?


BC0179 - Jobs tasks planning and journeys monitoring software

A member authority are seeking information regarding what jobs tasks planning and journeys monitoring software other local authorities have in place for their Facilities Management and Building Maintenance teams?


BC0177 - Premises security requirements - 250620

A Member Authority is currently seeking information regarding their premises security requirements including patrols of premises and parks and gardens, alarm monitoring and call out response and any static guarding requirements they may have.

The Member Authority would be specifically interested in gaining details regarding the following:-

1. Do you manage the contract in house or is it contract it out and why it is managed that way?
2. What buildings and facilities have a security presence and are these patrols or static guarding and does the service attend alarm call outs?
3. Do you sell the service to external customers and if so are they willing to provide details of what services they sell?


BC0173 - Training matrix for building cleaning staff - 280220


This APSE Member Authority are currently reviewing their training matrix for the cleaning staff and cleaning supervisors and are seeking examples of the matrix’s that other authorities have in place.

Any details that can be shared would be much appreciated.


BC0175 - Guidelines for deep cleaning in response to the Coronavirus / Covid-19 - 110320


A Member Authority is seeking information regarding the guidelines for deep cleaning in response to the coronavirus / Covid-19?

For example, recommended product specifications, cleaning techniques, operative PPE / protection?

The Member Authority would be grateful for any information other councils have that they would be willing to share.


BC0173 - Events run at the council - 270120

A Member Authority are currently conducting an event review across the Council and are seeking information regarding what other councils have in place for their events. The Member Authority are particular interesting in gaining details of the following:-

1. Do you run events at the Council, if so to what scale - how many events, approximately how many visitors, and what resources do you have available for this?
2. What are your main aims in running events?
3. Do you have a specific allocated space to run your events that is specifically set up for events?
4. Do you have sponsorship for your events that support the running of the events? If so on what scale is this sponsorship?
5. Do you receive other external funding for your events e.g. grant funding?
6. Do you staff events with staff members from across the organisation and/or do you have an events team?
7. Do you engage volunteers to help run events, if so how many and what sort of recompense do you provide for their involvement?
8. Do you use any external event management companies to help run your events? If so do you have any recommendations?
9. What support, if any, is given to external partner events?
10. What measures do you use to measure the success of an event?
11. Do you assess the environmental consequences of running events? For example do you have a policy on noise/provide recycling /provision of water to refill bottles/ promotion of reducing your carbon footprint (e.g.- active travel to events, alternative transport methods) as part of your event?
12. Have you conducted an events review and would you be prepared to share this with us?


BC0171 - Robotic floor cleaning equipment - 220120

This authority would like to know:

1. Does your authority operate robotic floor cleaning equipment in school or offices?
2. If so, would you be able to provide details of equipment types, locations utilised, etc?
3. Was your robotic provision introduced in addition to/in place of your existing staffing complement?
4. Has introduction of the equipment resulted in increased productivity?
5. Would you be willing to either share your business case and/or purchase costs, operating details, etc? If so, could you please provide your contact details:


BC0172 - Telephone interviews for Cleaners and Catering Assistants - 270120

A Member Authority are seeking information regarding Telephone interviews for Cleaners and Catering Assistants. The Member Authority are specially wanting details on the following:-

1. Do you carry out telephone interviews for frontline posts such as Cleaners and Catering Assistants?
2. If yes, do you carry out second stage face to face interviews or recruit on the basis of the telephone interview?
3. How successful is this for the recruitment of front line staff?
4. Would you be willing to share any information relating to your procedure?


BC0170 - Suited lock systems for school estate - 030120

This local authority would like to find out if any member authorities use a suited lock system for their school estate and,

1. If so, who is the provider?
2. How is the issue of keys monitored and recorded?
